Overview

A full-stack sales and operations platform built for a Philippine solar-energy company, replacing a patchwork of spreadsheets, messaging apps, and manual workflows with a single system that takes a customer from first Facebook message all the way to signed agreement and paid invoice.

The platform runs the entire commercial side of the business. Sales reps manage contacts and opportunities through a visual pipeline; appointments, site visits, and follow-up tasks are scheduled and tracked; quotes, contracts, and invoices are generated as branded PDFs and delivered to customers; payments and receipts are reconciled; and every customer touchpoint (email, SMS, Messenger) flows into one unified inbox with full activity history.

Wrapped around that is an AI layer that turns Facebook Messenger into an always-on front door. A Kimi K2 chatbot, grounded in an admin-editable knowledge base (uploaded PDFs, DOCX, and images parsed via OCR), answers customer inquiries in Tagalog, English, or a mix, and silently qualifies each lead on Budget, Authority, and Timeline as the conversation unfolds. Leads flow onto a Cold / Warm / Hot kanban with live scoring, and the moment a lead turns hot (or asks to speak with a human) the system hands off to sales with a full briefing delivered in-app and over email.

Highlights

  • Real business impact: compresses a multi-tool, multi-person sales workflow into one CRM, and automates the top of the funnel so the sales team only sees leads worth their time.
  • Production AI, not a demo: structured-JSON LLM output, rolling conversation compaction to stay within context, confidence-gated score updates, and hard safety rules for abuse, competitor questions, and off-topic prompts.
  • Culturally aware UX: the bot speaks the customer's language, including Tagalog courtesy particles ("po" / "opo"), and is tuned to feel conversational rather than interrogative.
  • Modern serverless architecture: reactive Convex queries mean the kanban, inbox, and notifications update live with no custom websocket code, and cron jobs sweep for unresponsive leads automatically.
  • Integrated, not bolted-on: Chatwoot, Resend, Semaphore, and OpenSolar are all surfaced inside one CRM rather than left as separate tabs the team has to juggle.
